Terms and Conditions

Terms for requesting, checking in, storing, servicing and returning bicycles through VeloHotel.

Effective 4 August 2026.

1. Service provider

2. Request and contract

Submitting the website form is a request and does not create an automatically confirmed booking. The request includes the preferred period, bicycle type, address and selected optional services.

The booking becomes active after VeloHotel confirms availability, dates, transport and price by phone or email and the customer accepts the confirmed terms. When confirmation is given by phone, the key terms are also sent to the supplied email address.

3. Check-in and transport

Free collection and return apply to a pre-arranged address within the city of Varna. Addresses outside the city are agreed separately.

At check-in, the parties complete a handover record and may photograph the bicycle, battery, equipment and visible condition. The customer must disclose known defects, special instructions, unusually high value, and missing or added components.

4. Prices and storage period

All published prices are final, stated in euro and include VAT. For calculation purposes, one month means 30 calendar days. A partial period is calculated pro rata by day.

A 20% discount applies to the storage price for the entire actual stay when the total stay exceeds 90 calendar days. The estimate shown in the form may change only if the period changes or the customer expressly approves additional services, parts or consumables.

5. Payment and documents

Payment may be made by bank transfer or when the bicycle is checked in — in cash or by card. The confirmed storage period is paid in advance.

Approved extras and parts are paid before the bicycle is returned. The applicable accounting or fiscal document is issued, and an invoice is available on request or when required by law.

6. Optional services and e-bike batteries

Inspection, cleaning, maintenance, repairs and replacement parts are carried out only after the scope and price have been approved. Parts and consumables are charged separately unless expressly stated otherwise.

E-bike storage includes suitable storage, periodic checks and maintenance charging. The real capacity test is offered at a fixed price of €15 only after compatibility is confirmed. The test reflects the battery condition at the time of measurement and is not a guarantee of future performance.

7. Changes, cancellation and withdrawal

A request may be cancelled free of charge up to 24 hours before the agreed collection. The date may be changed without charge with advance notice and confirmation of the new time.

Where a distance contract is concluded, a consumer has the statutory right to withdraw within 14 days of conclusion, subject to the exceptions provided by law. If the customer asks for collection or performance to begin before that period expires, an express request is required. If the customer then withdraws after performance has begun, the value of the service already supplied remains payable as provided by law.

8. Extension and early termination

When the stay is extended, the price is recalculated against the total actual period. If the total exceeds 90 days, the discount applies to the entire stay.

For early termination, the final amount is calculated using the actual days, applicable discount and completed services. Any overpayment is refunded using the agreed or original payment method.

9. Care and liability

VeloHotel exercises professional care over the checked-in bicycle and is liable in accordance with applicable law. The handover record and photographs are used to compare its condition at check-in and return.

To the extent permitted by law, VeloHotel is not responsible for pre-existing defects, normal ageing or battery self-discharge, hidden defects, consequences of incomplete or inaccurate customer information, or force majeure. Nothing in these terms excludes liability that cannot legally be limited.

10. Uncollected bicycle

At the end of the agreed period, the customer must accept return or request an extension in good time. The pro-rata storage fee continues until return. VeloHotel will make reasonable contact attempts and any further action will follow the applicable legal procedure.

11. Complaints and disputes

Complaints may be submitted to info@velohotel.eu, by phone or at the company address, preferably with the booking reference and photographs. A response is provided within the applicable statutory period.

Disputes are first addressed through negotiation. Consumers may contact the Bulgarian Consumer Protection Commission or a competent alternative dispute resolution body. Bulgarian law applies without limiting mandatory consumer rights.
